The buyer should then verify the material in the finished formulation, because a credible pigment supplier does not prove compatibility with every resin system.

Review the certificate of analysis for measured values, test methods, acceptance limits, production date, and batch identity rather than accepting a simple pass statement. The safety data sheet communicates hazard classification and handling information under the supplier's applicable regulatory framework; it is not a product-performance certificate. Compare documents across several lots to identify changing solids, viscosity, color strength, particle distribution, or recommended dosage. Missing revision dates, inconsistent manufacturer names, unexplained specification changes, and certificates that cannot be linked to the delivered lot are sourcing risks. Particle size influences suspension, surface smoothness, optical reflection, magnetic response, and application feel. Larger or poorly distributed particles may settle faster, create a rough film, or produce uneven reflective points. Very fine material can improve visual uniformity but may change color strength, transparency, viscosity, and the way a magnetically responsive effect develops. A supplier's average particle size alone is insufficient because the distribution range, particle shape, density, surface treatment, and agglomeration behavior also matter. Ask for the relevant technical specification and evaluate a controlled drawdown or cured film at the intended coat thickness. Compare vertical storage, mixing recovery, brush pickup, leveling, and cured appearance. Do not assume that stronger visual sparkle means better quality; a commercially usable formula must balance appearance with suspension stability, smooth application, and repeatable curing.

For optical and magnetic pigments, compare identity, color or effect strength, particle behavior, dispersion, settling tendency, and lot-to-lot appearance against an approved reference. For the liquid base, review appearance, viscosity using a defined method and temperature, density where relevant, and compatibility with the selected pigment package. Finished-sample checks should include application feel, leveling, magnet response, film appearance, cure under the specified lamp, adhesion, and short-term storage observation. A single viscosity number cannot establish quality because instrument, spindle, shear rate, and temperature affect the result. Likewise, a visual swatch is not enough if film thickness and curing energy are uncontrolled. Establish sampling plans, acceptance limits, retained samples, and disposition rules before bulk approval; advanced tests should be selected with a qualified laboratory when the market or product risk requires them.

Use a documented comparison matrix rather than ranking suppliers by quotation alone. Check whether the OEM can connect finished-goods batches to raw-material lots, production dates, formulation revisions, packaging components, and release records. Ask how nonconforming material is isolated, how substitutions are approved, and how customers are notified about meaningful changes in supplier, grade, or specification. Traceability should be tested with a practical exercise: select one finished batch and request the records needed to identify its relevant ingredient lots and quality-release decision. Compare the completeness, retrieval speed, and consistency of the responses. Also review whether color standards, retain samples, and complaint records are linked to batch numbers. A lower-priced offer with weak traceability can create higher investigation and recall exposure, while a well-controlled system supports more reliable repeat orders and clearer root-cause analysis.
